VE8IR chairs and hosts the meeting.  VE8IR offers to take minutes.  Quorum established (3 members as per s. G.3 Constitution and Bylaws).  Agenda adopted.

2.

Financial - VE8IR presents simple financial statement as per s. I.1 Constitution and Bylaws){available on request}.  Other points:

  • RAC affiliation - VE8WD will look into this
  • RAC liability insurance - decided to continue not to seek it.  We do not insure equipment as it has long ago depreciated.  The only reason for this insurance was for Field Day at the Ski Club and we have stopped using that QTH due to electrical noise.
  • YARS is up to date with Societies Registry filings.
  • Last AGM was 1 Aug 21.  Today is end of FY.  We should probably have an AGM.
  • VE8SKI - VE8WD does not want reimbursement.

VE8IR to work on e-banking/e-transfers.

 

VE8IR and VE8WD to work on AGM and elections call after e-banking/e-transfer set up.

 

VE8WD, VE8IR and VE8KC to form constitution committee and work on Articles of Incorporation and Bylaws.

  • E-banking - VE8IR to explore this.  VE8WD notes it would be good to get this set up and then go to membership for AGM and membership payments.  Both VE8IR and VE8KC have experience with this through their other involvement with local NPOs.  Once this is done, we can announce AGM to members and call for membership fees.
  • Vice-President position is vacant.  Decided we should deal with that in elections at AGM.
  • VE8RT had suggested updating Articles of Incorporation and Bylaws.  VE8WD, VE8KC and VE8IR to work on this.

 

 

 

3.

Technical matters -

  • VE8SKI weather station operational.  Link to it on the website.  VE8IR to work on competing Pi Wx station project.  Still in identification stage.
  • VE80LAN - VE8IR tried to make FT8 contacts on 20m during month of March.  Radio output was only 0.25W due to high SWR.  Made QSO with VE8CK.  IR received certificate from Rick Danby VE3BK and Canadian Warplane Heritage Museum.
  • No report on repeaters.
  • ARRL Field Day on 25 Jun 22.  Packet is already out.  IR would like to operate QRP and send message traffic this year.
  • Inner Whalebacks - no visit in last 2 years.  No idea if still operational.  No interest from partner agencies.
  • VE8PAT - some discussion - we should consider trying to move it to primary reception centre at Field House - IR to contact Alicia Callaghan - no intention to move to 911 centre
  • website renewal - significantly revamped since Sept 21 - 8,000+ hits.  Some pages more visited than others such as shortwave listening and website project page.

Emergency Preparedness -

  • Ski Loppet - shortage of volunteers - only 3 available - needed 4 - there are operational implications to this
  • Issue of a radiological monitoring project skipped
  • Focus on training and increasing pool of amateurs locally
  • VE8IR has drafted a Strategic Plan and will distribute that with these minutes for comment - first step to giving more focus to the Society
  • Once Strategic Plan developed then we can look at emergency plan, contingency plans, exercises, training and relationship with MACA and city

Training and Promotion -

  • website - general approval to rename newsletter as Ensign
  • Basic Qualification Course - RAC is running one in summer - VE8IR to post that on our website - we should run one in fall for MACA/GNWT/City staff
  • Darryl has expressed interest in doing Morse Code Exam (run by RAC) - VE8IR or VE8RT can administer
